Microsoft 365 security and records configuration

Keeping client documents where they belong

Willowcrest Advisory helps wealth-management and independent financial-advisory firms set up Microsoft 365 so client files are protected at sign-in, opened only by the right people, labelled by sensitivity, and kept for as long as your firm’s record-keeping policy says.

Our work

Four pieces of configuration, each with a clear owner

Advisory firms tend to hold a lot of sensitive paperwork for a small number of people. These four areas cover how that paperwork is reached, shared, marked and kept. Each one ends with documentation your operations or compliance lead can maintain.

Identity protection

Most document exposure starts with a sign-in someone shouldn’t have had. This work tightens who can sign in to your Microsoft 365 tenant, from where, and with what proof.

  • Multi-factor sign-in for every account, with a registration plan for staff
  • Conditional Access policies, such as blocking older sign-in methods
  • Separate administrator accounts and emergency-access accounts
  • A review of Defender settings for email phishing and device protection, matched to the licences you hold

Document access

Client files often end up in a shared drive where everyone can see everything. This work gives each client relationship a defined place, and decides who can open it.

  • A SharePoint structure for client files, organised by client or household
  • Access granted to teams through groups, not to individuals one by one
  • External sharing for document exchange with clients, using links that expire
  • A quarterly access review that a named person can run

Information classification

Labels tell people, and Microsoft 365, how a document should be handled. A short, clear scheme is far more likely to be used than a detailed one.

  • A sensitivity label scheme in Purview, for example Internal, Client Confidential and Restricted
  • Default labels on client document libraries
  • Data loss prevention policies that warn before likely account or identity numbers are sent outside the firm, where your licences include it
  • A one-page staff guide to choosing a label

Retention configuration

Your firm decides how long each type of record must be kept. This work makes Microsoft 365 apply those periods consistently, instead of relying on people remembering not to delete things.

  • Retention labels and policies built from the schedule your firm provides
  • Email and client-file retention applied to the right locations
  • A review step before records are deleted at the end of their period
  • A written record of what was configured, and where

One client document, start to finish

How the four areas meet in the life of a single document, such as a signed fact-find. Illustrative, and simplified.

  1. ReceivedUploaded by a staff member who signed in with multi-factor authentication.
  2. LabelledMarked Client Confidential by default in the client’s library.
  3. StoredKept in that client’s folder, open to their advice team only.
  4. SharedSent to the client by a link that expires, not as an attachment.
  5. RetainedKept for the period your policy sets, then reviewed before deletion.

A note on responsibility

A note on responsibility

Software can apply your policies consistently. It can’t decide them for you, and it doesn’t make a firm compliant on its own.

Your firm stays responsible for its obligations to clients and regulators. We work with your compliance lead, or your external compliance adviser, so configuration follows policies they’ve approved, and we document every setting so it can be checked.

Client Document Access Review

A printable checklist for a quarterly review of who can reach your client documents. It covers staff and former staff, external sharing, sensitive locations and sign-in protection, and ends with a findings table and a sign-off.

Run it with whoever manages your Microsoft 365 accounts. Most items can be checked in the admin centres without special tools.
